All committees are asked to observe the following guidelines:
- At the start of the new Fellowship year (July 1), each committee shall choose a chair or co-chair. If a committee fails to do this, the board shall recruit them.
- Committee chairs shall serve no longer than two consecutive years.
- Each committee chair and co-chair shall serve on the Fellowship Council.
- Committee members are encouraged to serve for no fewer than two years – half of a committee's membership should change annually.
- Committees are to arrange for child care through the Child Care Coordinator for their respective Fellowship events.
- Create and dissolve subcommittees, ad hoc committees, task forces, etc., as needed..
- Provide a justified, written proposed budget for the upcoming fiscal year to the Finance Committee by the date of the May Council of Chairs meeting.
- Forward a yearly written progress report to the Board by the date of the May Council of Chairs meeting.
Aesthetics
Ensures that any visible changes to the building or landscape enhance the aesthetic motif.
Arranging for flower or other arrangements for the foyer niche.
Building Use Development
Oversees building rentals and works with the Office Administrator to monitor fees and expenses, policies, guidelines and promotion strategies.
In collaboration with the Event Coordinator, the committee will maximize revenue producing activities and will be jointly responsible for:
- Monitoring building use accounts.
- Forming building use policies, guidelines, and fee schedules for recommendation to the Board.
- Advertising and promoting the building.
- Recommending acquisition of furnishings and equipment to enhance the building's attractiveness.
- Enlisting the assistance of the congregation in promoting building use.
- Considering and deciding on fee variance requests and petitions for continual use.
Canvass
Canvass Committee is charged with planning and implementing the annual pledge drive during the period designated in Article XI of the bylaws, the purpose being to obtain operating funds from members and friends of the Fellowship for the following fiscal year.
Duties include:
- Planning a canvass event to include and inform all the members about the upcoming pledge drive.
- Preparing and distributing materials explaining how the money raised in the canvass campaign is vital to the operations of the Fellowship.
- Obtaining from the Membership Committee a list of those who will be canvassed.
- Securing and training canvassers who will meet with other members and friends to ask for annual pledges.
- Following up on canvassers and preparing and annual report to the Board prior to the Board's Annual Planning Retreat.
- Working with the Membership Committee to canvass new members.
Caring Circle
This committee provides pastoral functions such as assistance during illnesses, bereavement, and other crises.
Denominational Affairs
This committee receives Denominational Affairs information, directs Unitarian Universalist Association/Pacific Central District information to the congregation, and responds to UUA/PCD requests for information.
Endowment
The Endowment Committee receives donations, and decides how to disburse the interest of the Fund.
Finance
This committee will conduct accounting, bookkeeping, financial planning, budget development and cash management services for the congregation
including:
- Reminding committees to submit proposed budgets for the next fiscal year by the date of the May Council of Chairs meeting.
- Formulating a proposed budget for the next fiscal year by the date of the Board's Annual Planning Retreat with realistic costs based on planned expansion, in consultation with all committees.
- Formulating bookkeeping and auditing procedures for the Fellowship in general and building use in particular.
- Implementing an informal audit of all Fellowship accounts and reporting to the Board by September 15.
Fund Raising/Special Events
This Committee is charged with oversight of revenue producing special events other than those generated by building use or the annual canvass.
Information
Membership
This committee is charged with attracting, welcoming, and retaining Fellowship members. Responsibilities include:
- Working jointly with the Information Committee to interest and attract new members.
- Making available UUA and other pamphlets.
- Providing UUA and HUUF orientation to prospective members.
- Reporting new member follow-up by:
- planning and conducting ingathering ceremonies
- assuring personal visits by the Canvass Committee within two months
- Providing name tags to visitors and new members.
- Organizing Sunday staffing for the volunteers who greet people at the door and greet newcomers during social hour.
- Acting as custodian of the membership book.
- Making determinations as to inactive members per Article III Sections 2c and 3 of the Bylaws.
- Reporting changes of member status to the Administrator and Treasurer.
Nominating
This committee is charged with determining leadership and other qualities needed on the Board of Trustees to provide a balanced and effective team. Duties include:
- Selecting and asking members to serve in open positions.
- Submitting a slate to the Board at its February meeting.
- Submitting a brief biography of each candidate at the March congregational meeting.
- Selecting and submitting the names of three members to serve on a new Nominating Committee to the Board at its September meeting.
Personnel
This committee is charged with creating and maintaining policies regarding paid and volunteer staff of the Fellowship. Duties include:
- Writing position descriptions and employee contracts for submission to the Board for approval.
- Establishing procedures for employee recruitment, evaluation, and grievances.
Planned Giving
The Planned Giving Committee develops methods to raise monies for the Endowment Fund.
Program and Worship
This committee is charged with the responsibility of the Sunday services. Duties include:
- Soliciting, screening and accepting suggestions for Sunday programs.
- Defining Sunday morning program coordinators' responsibilities, recruting coordinators, and providing them with instruction and advice as needed.
- Providing a balanced schedule of Sunday morning programs.
- Creating and providing a printed order of service.
- Monitoring the passing of the Shaman's Beads and informing each 'Shaman' of the four minute limit.
- Meeting the newsletter deadlines for submission of program information.
- Coordinating with the treasurer the payment of speakers.
Religious Education for Children
This committee is responsible for Sunday morning programs and other educational events for children. Duties include:
- Organizing and implementing curriculum.
- Providing for clear communication among those involved.
- Appointing a Child Care Coordinator who maintains a list of child care providers available for child care during congregational meetings and social activities.
Religious Education for Teens and Adults
This committee's duties include:
- Developing and coordinating educational programs, curricula, and events.
- In conjunction with the Program and Worship Committee, developing at least two intergenerational Sunday programs per year.
Social Activities and Hospitality
This committee's duties include:
- Providing refreshments for Sunday social periods, maintaining the kitchen, and purchasing the consumables.
- Instigating, coordinating and implementing social events such as dinner gatherings, parties and potlucks.

Stewardship
"This committee is charged with the maintenance and landscaping of the Fellowship. Duties include:
- Implementing and maintaining the landscape plan by communicating the plan to the membership and maintaining the landscape.
- Ensuring the preventive maintenance, cleaning and repairs of the building and associated equipment.
- Planning purchases and directing the implementation of building equipment and expansions.
- Forming work parties as needed to maintain building and landscape.
- Work with the Aesthetics Committee ensuring that any visible changes changes to the building or landscape enhance the aesthetic motif.
